The FilePoppy Setup Guide

Set up once. About fifteen minutes, one step at a time.

This guide walks you through the whole setup: FilePoppy on your iPhone, the small helper app on your Mac, and the one permission your Mac asks for. Every step tells you exactly what to press and exactly what you will see when it worked. Nothing in this guide can break anything - if you get lost, you can simply close everything and start the step again.

Many people like to set the printed pages next to the keyboard.

You need three things: your iPhone, your Mac, and the email address you use. That is all. No passwords to invent - FilePoppy emails you a six-digit code instead.

Part 1 of 4 · On your iPhone

Sign in to FilePoppy - about three minutes

Open Safari on your iPhone (the compass icon) and go to filepoppy.com/app - type it in the bar at the top and tap Go.
You see a page titled Sign in to FilePoppy.
Type your email address in the Email box and tap Send my code.
The page now says We sent a code to followed by your email address, and shows a box for a six-digit code.
Open your email on this same iPhone. Look for a new message from FilePoppy - it contains a six-digit code, like 481923. If you do not see it after a minute, look in your Junk or Spam folder.
Go back to Safari, type the six digits into the code box, and tap Sign in.
You are in. The very first time, the screen asks about your real estate license (that is the next step); every time after that it says My Transactions at the top. You stay signed in for a full year; you will not do this dance again tomorrow.
Verify your real estate license. The first time in, FilePoppy asks for your real estate license number and state. Type them in and tap Submit. A person on our team checks it, usually the same business day, and the app opens up on its own the next time you come back. (If you already use another Poppy app, you are already verified and will not see this.)
The screen thanks you and says your license is being reviewed. Nothing more to do here - carry on with the next step, and the next time you open FilePoppy after the review, My Transactions is waiting.
Put FilePoppy on your Home Screen so it sits next to your other apps: tap the Share button at the bottom of Safari (the square with an arrow pointing up), slide the list up, tap Add to Home Screen, then tap Add.
A FilePoppy icon now sits on your Home Screen. From now on, that icon is how you open FilePoppy.

Part 2 of 4 · On your Mac

Install FilePoppy Capture - about five minutes

FilePoppy Capture is the small helper that lets your text messages join your transaction files. Your messages never leave your Mac - Capture only sends the conversations you choose, for the transaction you choose.

On your Mac, go to filepoppy.com/mac and click the big download button. Not sure whether your Mac is Apple Silicon or Intel? Click the Apple menu  at the very top left of your screen, choose About This Mac, and read the chip line - the download page tells you which button matches. Picking the wrong one is harmless: the app simply will not open, and you come back for the other button.
Open the downloaded file. Click the Downloads button in your browser (usually an arrow near the top right) and click FilePoppy-Capture.dmg (or FilePoppy-Capture-Intel.dmg on an Intel Mac).

Drag the bird onto the blue Applications folder. Press and hold the FilePoppy Capture icon, slide it on top of the Applications folder, and let go. Then close that little window (the red dot at its top left).
Open the app. Click the Finder face (the blue smiling face at the bottom left of your screen), click Applications in the left sidebar, find FilePoppy Capture, and double-click it.
Click Open if your Mac asks. The first time, your Mac may say the app was downloaded from the internet and ask if you are sure. That is normal - it asks this about every new app. Click Open.
A page called FilePoppy Capture opens in your web browser, all by itself. That page IS the app. From now on, opening FilePoppy Capture from Applications always brings this page up.

Part 3 of 4 · Phone and Mac together

Connect your iPhone to your Mac - about two minutes

One short code, typed once, and your Mac and phone know each other forever.

On your iPhone, open FilePoppy (the icon you added in Part 1), tap Settings, and under Your Mac tap Connect a Mac.
A large code appears under the words Your connection code.
On your Mac, the FilePoppy page that opened says Text messages for this file and asks for that code. Type it into the Connection code box and click Connect this Mac.
The page moves on, and Settings on your phone now shows your Mac with a checkmark. The code is only good for 15 minutes - if it ran out, tap Connect a Mac again for a fresh one. Nothing is lost.

Part 4 of 4 · Still on your Mac

Tick the conversations - and the one-time permission - about two minutes

Last step: tell FilePoppy which text conversations belong to your transaction. Once saved, they flow in on their own every 15 minutes - forever, with nothing to click.

The page asks "Which file is this for?" Click your property. (With one transaction it is already chosen.)
If a yellow card titled "One-time permission needed" appears - that is expected. Apple asks this once of every app that reads Messages; your Mac is making sure YOU decided. Click Open the permission page, find FilePoppy Capture in the list, and turn its switch ON (your Mac may ask for your login password). Then quit FilePoppy Capture - press and hold its icon in the Dock at the bottom of your screen and choose Quit - and open it again from Applications.
This time your conversations appear, with names and message counts. The permission never needs touching again.
Tick everyone who texts about this deal - your client, the other agent, the escrow officer - and press Save - texts flow automatically from here on.
The page says ✓ Saved. That is the whole setup - texts land in FilePoppy within 15 minutes of being sent, photos included, and you never touch this screen again unless someone new joins the deal.

That is the whole setup. From now on there is nothing to click: every 15 minutes your Mac sends the new texts from the conversations you ticked - photos included - to FilePoppy on your iPhone and at filepoppy.com/app. When someone new joins the deal, or you start another transaction, open FilePoppy Capture from Applications, tick their conversation, and press Save. That is the only time you come back to this screen.

If something does not look right

What you see	What it means, and what to do
The code email never arrives	Wait one full minute, then check Junk or Spam. Still nothing? Tap Send my code again - a fresh code replaces the old one.
The downloaded app will not open	You most likely have the other kind of Mac. Go back to filepoppy.com/mac and use the other download button. No harm done.
You cannot find FilePoppy Capture on the Mac	Click the Finder face at the bottom left, then Applications in the sidebar. It is in that list, under F. If it is not, Part 2 step 3 (the drag) has not happened yet.
The FilePoppy Capture page is gone	Open FilePoppy Capture from Applications again - the page opens by itself every time the app starts.
"One-time permission needed" keeps coming back	The switch in System Settings is not on yet, or the app was not quit and reopened afterward. Do Part 4 step 2 again - turn the switch ON first, then quit and reopen.
Conversations load, but green text messages are missing	Your iPhone is not forwarding regular text messages to the Mac. On the iPhone open Settings, tap Messages (on newer iPhones it is under Settings → Apps → Messages), tap Text Message Forwarding, and turn on your Mac. Blue iMessages arrive either way.
The connection code "expired"	Codes last 15 minutes on purpose. On the phone, tap Connect a Mac again - the new code works the same way.
Anything else	Close FilePoppy Capture, open it again, and redo just the step you were on. Nothing you can click in FilePoppy deletes or changes your messages - the Messages database is only ever read.

A promise worth repeating: your message database never leaves your Mac. FilePoppy Capture reads it right there, and only the conversations you choose - for the transaction you choose - are sent to your file.
