FilePoppy Privacy Policy
What we keep, where it lives, and who can see it.
What FilePoppy collects
- Your email address. It is how you sign in - we email you a six-digit code - and where FilePoppy sends receipts and notices. You may sign in with Poppy ID instead, the shared sign-in for the Poppy apps at officepoppy.com; then the same address is shared with FilePoppy from there.
- Your cell number, if you choose to give it. It is optional. It lets FilePoppy tell which side of a text conversation is you.
- The transactions you create. The property address, the escrow number, the people in the deal, and anything else you type into a transaction.
- Only the text conversations you tick on your Mac. FilePoppy Capture, the small helper app on your Mac, reads your Messages database right there on the Mac and sends only the conversations you have ticked, for the transaction you chose. The Messages database itself never leaves the Mac. Untick a conversation and nothing more from it is sent.
- Emails that match a transaction. An email joins a file only on evidence: it names the property address or the escrow number, it belongs to a thread that already has that evidence, or you forwarded it to your FilePoppy address yourself. Emails that match no transaction are not kept.
- Photos and recordings you add. Photos that arrived inside a ticked conversation or a matched email, and any photo, audio or video you add to a transaction by hand.
- Your real estate license number and state. FilePoppy is built for licensed real estate professionals, so the first time you sign in we ask for these, and a person on our team checks them. This verification is shared with Poppy ID, the suite sign-in, so that you are not asked again by another Poppy app.
- The ordinary technical record of a visit - the time, the address your connection came from, and the browser or app version - kept in server logs so that we can keep the service running and find faults.
Your Gmail, if you connect it
If you tap Connect your Gmail in Settings, Google asks you to grant FilePoppy read-only access to your mailbox. FilePoppy can then only read your mail. It can never send an email as you, never delete one, and never change one. It reads your mailbox to find emails that match your transactions by the rules above, keeps those, and keeps nothing else. Disconnecting Gmail in Settings withdraws that access at once, and you can also withdraw it from your Google account at any time.
FilePoppy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Where your data lives
On secured servers in the United States, operated for PeopleStar. Your text-message database stays on your own Mac; only the ticked conversations travel to those servers, over an encrypted connection. Copies of a transaction that you download - the Communication Package, a PDF, a CSV - are yours, on your own device, from that moment on.
Who can see it
Only the signed-in account that created the transaction. On an Executive plan, a transaction you choose to share is also visible to the team members you share it with. People on our team can look at your data only when you ask us for help with it, and only as far as the help requires. Nobody else - no partner, no advertiser, no data broker - ever sees it.
How long we keep it
For as long as you keep it. A transaction and everything in it - texts, emails, photos, recordings, packages - stays until you delete the transaction, or until you ask for your account to be deleted. Deleting a transaction erases every file in it. Deleting the account erases every transaction. Server logs are kept for a short, fixed period and then discarded on their own.
Billing
Payment is handled by Stripe. Your card number goes to Stripe directly; FilePoppy never sees it and never stores it. We keep the record of which plan you are on, and Stripe keeps the record of what was charged. Stripe's own privacy policy governs what Stripe holds.
What we do not do
- We do not sell your data, or anyone's data, to anyone.
- We do not show advertising, and we do not give your data to anyone who does.
- We do not read your transactions to learn about you, train anything on them, or use them for any purpose but keeping your record and showing it back to you.
Your choices
- Untick a conversation on your Mac, and nothing more from it is sent.
- Disconnect Gmail in Settings, and FilePoppy's access ends.
- Delete a transaction, and every file in it is erased.
- Ask us to delete your account, and everything is erased.
- Ask us what we hold about you, and we will tell you.
Changes to this policy
If we change this page in a way that matters, we will say so at the top with a new effective date, and we will tell you in the app or by email before the change takes effect.
